Administrative Associate in the Public Works Department, City of West Columbia
Provides clerical support and administrative assistance in a variety of areas for the Assistant City Administrator of Public Operations and Director of Public Works; prepares and types correspondence and maintains files for same. Provides a high level of customer service to both internal and external customers through proper telephone, email or written communications. Creates inquiries and work orders related to customer needs and forwards to correct departments. Utilizes computer systems to access customer account information to identify, research and resolve customer issues.
Performs functions relative to Accounts Payable, including preparing check requests, processing and reconciling purchase requisitions for all of the Public Works departments and provides assistance for specific departmental purchases. Performs other routine clerical duties as required, including but not limited to copying and filing documents, sending and receiving faxes and emails, entering and retrieving computer data, scanning documents, maintaining logs and lists, etc.
Purchases and maintains adequate inventory of office and cleaning supplies for Public Works departments; manages service and maintenance contract and maintains files for same. Demonstrates intermediate level computer skills with proficiency in MS Windows, Microsoft Office Suite, internet operations, GIS, and various software programs as needed to accomplish the task at hand. Drives to other city properties to deliver, retrieve and process related work. Reviews times cards; records all information as required. Assists with preparation of departmental budget.
Associates degree in secretarial science or vocational/technical training and two years experience in an administrative area or any equivalent combination of education, training and experience which provides the required skills, knowledge and abilities.
High level knowledge of word processing and spreadsheet software, preferably Microsoft Word and Excel. Good writing and file management skills.
Must possess a valid SC driver’s license.
